1. LJB Inc. (“LJB,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This Privacy Policy explains how LJB collects, uses, discloses, and safeguards personal information obtained in the course of our business, including through LJB’s website, recruiting activities, client and vendor relationships, and in‑person interactions.

This Privacy Policy is intended to comply with applicable privacy and data protection laws in the United States and Canada, including U.S. state privacy laws, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CPRA), Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Québec’s Act respecting the protection of personal information in the private sector (Law 25), and, where applicable, the EU General Data Protection Regulation (GDPR) and UK GDPR.

2. This Privacy Policy applies to personal information we collect (a) through our websites and online forms; (b) during in‑person meetings, conferences, and events; (c) through recruiting, hiring, and career‑related activities; and (d) in connection with client, vendor, and professional communication. This Privacy Policy does not apply to personal information collected from employees in the context of employment, which is addressed through separate internal notices and policies, including the employee handbook.

For purposes of this Privacy Policy, the term “personal information” means any information that, alone or in conjunction with other information or data, identifies or is linked to a particular individual or household and that is subject to, or otherwise afforded protection under, a data protection law, statute, or regulation. The term “personal information” does not include anonymized or de-identified data that is not attributable to a particular individual or household and that is not otherwise subject to a data protection law, statute, or regulation. LJB may anonymize or de-identify personal information, and such data is not subject to this Privacy Policy, and LJB may use such data for any purpose.

This Privacy Policy does not replace the terms of any written contract between LJB and a client, vendor, teaming partner, employee, applicant, or other party. To the extent a separate written agreement governs a specific engagement or data-processing activity, that agreement will control with respect to that activity.

3. Information We Collect. LJB may collect information in the following categories depending on the nature of your interaction with LJB (a) personal information (e.g., name, business or personal email, address, phone number, mailing address, and company name and job title); (b) professional and business information (e.g., client or vendor contact details, project‑related communications, contractual and billing contacts, recruiting and employment information, and publicly available professional profile information); and (c) online and technical information (e.g., IP address, browser type and device information, website usage and interaction data, cookies and similar technologies). LJB discloses the aforementioned categories of personal information to our service providers and contractors for the business purposes described in this Privacy Policy.

LJB does not intentionally request sensitive personal information through standard lead-generation or marketing forms. Please do not submit sensitive information, confidential project documents, protected health information, government identifiers, financial account information, or other sensitive data through general websites or forms unless LJB has specifically instructed you to do so through a secure process.

4. Information Submitted on Behalf of an Organization. If you submit information on behalf of a company, public agency, institution, client, contractor, or other organization, you represent that you are authorized to provide such information and to receive communications from LJB relating to such submission.
5. How We Collect Information. LJB collects personal information (a) directly from you when you contact us, engage our services, attend events, or apply for a position; (b) automatically through our website via cookies and analytics technologies; (c) through routine client and vendor communications; (d) through third‑party recruiting and professional networking platforms.
6. How We Use Personal Information. LJB uses personal information for legitimate business purposes, including to (a) respond to inquiries, proposals, and requests; (b) provide engineering, consulting, and professional services; (c) manage client and vendor relationships; (d) evaluate candidates and manage recruiting and hiring processes; (e) communicate regarding our business, services, and projects; (f) improve our website, systems, and service offerings; (g) to maintain security, prevent fraud or misuse, troubleshoot technical issues, and protect LJB systems; and (h) comply with legal, regulatory, and contractual obligations. LJB does not use personal information to make solely automated decisions that produce significant legal or similarly significant effects on individuals. Where automated tools assist in analysis or workflow, a human reviewer remains involved in any consequential determination.
7. Legal Basis for Processing Information. Depending on the circumstances and applicable law, LJB processes information based on (a) your consent, where required; (b) performance of a contract or steps taken prior to entering into a contract; (c) compliance with legal or regulatory obligations; (d) legitimate business interests that are not overridden by individual rights; and (e) recruiting, hiring, and employment‑related purposes. Where LJB relies on legitimate interests as a legal basis, individuals retain the right to object to such processing. LJB will assess each objection and cease processing where its legitimate interests do not override the individual’s rights.
8. Cookies and Analytics. LJB’s website may use cookies and similar technologies to (a) operate and secure the website, (b) understand how visitors use the site, (c) improve website performance and user experience, and (d) monitor and record all activities and communications to, from, and on, the website .

LJB uses the following categories of cookies: (a) Strictly Necessary — required for the website to function (navigation, security, load balancing); cannot be disabled; session-duration; first-party; (b) Functional/Preference — remembers user preferences and settings to improve experience; retained up to one year; first-party; (c) Analytics/Performance — collects anonymized data on how visitors use the site (e.g., Google Analytics); retained up to two years; third-party; and (d) Marketing/Targeting —  facilitates our marketing or advertising programs; retained up to 10 years; first-party and third-party.

Disabling cookies may affect website functionality. 9. Data Retention. LJB retains personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by applicable law. General retention periods by data category are as follows: (a) client and project contact data — duration of engagement plus seven years (legal/contractual obligations); (b) vendor and teaming partner contacts — duration of relationship plus five years (legitimate business interests); (c) job applicant information — two years from date of application (recruiting purposes/legal); (d) website analytics data — up to 26 months, anonymized (legitimate business interests); (e) marketing and inquiry contacts — three years from last interaction (legitimate business interests); (f) analytics cookies — up to two years (consent/legitimate interests); and (g) legal and compliance records — as required by applicable law. At the end of the applicable retention period, personal information is securely deleted, anonymized, or returned, as appropriate.
10. Information Sharing and Disclosure. LJB may share personal information with (a) service providers that support our IT, hosting, analytics, recruiting, or business operations; (b) professional advisors such as legal, accounting, or insurance providers; (c) government or regulatory authorities when required by law; or (d) successors or counterparties in connection with a merger, sale, or corporate transaction. LJB does not sell personal information to third parties for monetary or other valuable consideration.
11. Third‑Party Websites and Platforms. LJB uses links to third-party websites, platforms, social networks, or services, including recruiting and professional networking platforms to support our marketing and hiring activities. LJB and these platforms act as independent controllers of personal information collected through their respective services. Each platform processes personal information in accordance with its own privacy policies and terms. Requests to exercise privacy rights regarding information held by third-party platforms should be directed to such platforms. Requests regarding information held by LJB may be submitted using the contact information in this Policy.
12. International Data Transfers. LJB is based in the United States and operates in Canada. Personal information may be processed or stored in the United States, Canada, or other jurisdictions where our service providers are located. Where required by applicable law, LJB takes reasonable steps to ensure that cross‑border transfers of personal information are subject to appropriate safeguards. For transfers of personal information from the EU or UK to countries not recognized as providing an adequate level of data protection, LJB relies on Standard Contractual Clauses (SCCs) approved by the European Commission and, for UK transfers, the International Data Transfer Agreement or Addendum approved by the UK Information Commissioner’s Office, or other lawful transfer mechanisms as appropriate. Where personal information is transferred from Canada to the United States or other jurisdictions, LJB ensures that contractual protections equivalent to those required under PIPEDA and applicable provincial law are in place.
13. Data Security. LJB maintains reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, or disclosure. However, no method of transmission or storage can be guaranteed to be completely secure.
14. Your Privacy Rights. Depending on your location, you may have the right to (a) request access to personal information LJB holds about you, (b) request correction or deletion of personal information, (c) withdraw consent where processing is based on consent, and (d) request information about our data practices. California residents may have additional rights under the CCPA/CPRA, including rights to access, delete, and correct personal information and to limit certain uses. California residents also have the right to opt out of the sale or sharing of personal information for cross-context behavioral advertising. LJB does not sell personal information. Canadian residents may have rights under PIPEDA to access their personal information and challenge its accuracy. Québec residents have additional rights under Law 25, including the right to access and correct personal information, withdraw consent for non-essential uses, request deletion where LJB no longer has a legitimate purpose to retain it, and, for information collected electronically on or after September 22, 2023, the right to data portability. LJB has designated a Privacy Officer responsible for compliance with PIPEDA and Québec Law 25; contact information is provided below. EU and UK residents may have rights under GDPR, including rights of access, rectification, erasure, restriction, objection, and data portability, as well as the right to lodge a complaint with a supervisory authority (in the EU, the relevant national Data Protection Authority; in the UK, the Information Commissioner’s Office at ico.org.uk). LJB is a U.S.-based company; if LJB is subject to GDPR obligations with respect to EU or UK data subjects, LJB will designate an EU/UK representative as required under Article 27 of the GDPR and notify affected individuals accordingly. 15. Marketing Preferences. You may, at any time, opt out from receiving marketing emails from us. To opt out from such marketing, please use the “unsubscribe” or “preference” features within our email communications.
16. Children’s Privacy. LJB does not knowingly collect personal information from children, and our website and services are not directed to individuals under 13 years of age (or under 16 where required by applicable law). If LJB becomes aware that personal information from a child has been collected, we will take appropriate steps to delete it.
17. Drawing Files and Confidential Technical Materials. LJB’s drawing and technical files may contain information that is confidential or proprietary and is solely for the use of the intended recipients. All proprietary rights, including copyright, are specifically reserved. If you are not the intended recipient or the employee or agent responsible for delivering the file to the intended recipient, then you are notified that any disclosure, copying, distribution, or other use of the contents of those files is strictly prohibited.

If you received a drawing file or other confidential technical material in error, please notify LJB as noted in No. 18 below.

No part of any LJB drawing may be used, reproduced, or modified in any manner without the prior written authorization of LJB. Any unauthorized use, reproduction, or modification of an LJB drawing is done at the user’s own risk, and the user agrees to indemnify, defend, and hold harmless LJB from and against any and all claims, liability, and expense, including reasonable attorney’s fees, arising from such use, reproduction, or modification.

Please contact us in accordance with the “Contact Information” section below if you would like this Privacy Policy provided in an alternative format, and we will seek to meet your needs.
19. Changes to This Privacy Policy. LJB may update this Privacy Policy from time to time. Updates will be posted on this page with a revised “Last Updated” date. Your continued use of the website or submission of information after an update means the updated Privacy Policy applies to information collected after the effective date of the update.
